The Broderers’ Exhibition takes data privacy seriously. This privacy policy sets out how we collect and use Personal Information, and how you can exercise your privacy rights.
The Broderers’ Exhibition is an embroidery art exhibition organised by The Worshipful Company of Broderers, one of the ancient Livery Companies of the City of London. We are committed to ensuring that your privacy is protected. Should we ask you to provide personal information, you can be assured that it will only be used in accordance with this privacy statement.

1. What information we collect
- Full name
- Email address
- Country of residence
- Billing address
- Telephone number
- Social media identity (if applicable)
- Website URL (if applicable)
- Name of the School/College/University (if you are a student)
2. How we collect information
You provide your personal information to us directly by signing up to our e-newsletter and/or by submitting the Entry Form for the Broderers’ Exhibition.
You may give us permission indirectly to access your personal information from the social media, for example, when you publicly tag us on social media such as Facebook and Instagram.
3. How we use information
Your personal information will only be used for administering the exhibition, which includes
- To keep you up to date about the exhibition via our newsletter.
- To process your entries to the exhibition.
- To communicate with you once your artwork is selected for the exhibition.
- To process the art sale of your works.
- To provide answers to your questions and deliver information that you have requested.
In order to deliver our e-newsletter, we use a third-party provider, MailChimp. For more information, please see MailChimp’s privacy notice. You can unsubscribe to general mailings at any time by clicking the unsubscribe link at the bottom of any of our emails.
4. How we protect information
The safeguarding of your personal information is important to us. We put in place suitable security measures technically and administratively in order to prevent unauthorised access, disclosure, modification or destruction of the data.
The data you provide us when joining our mailing list, i.e. your name, email address and the country of residence, will be stored on MailChimp. The data you provide us when submitting the Entry Form will be stored on this website backend, behind 2-factor authentication, on a secure server.
If you provide us your credit card information, the information is encrypted using secure socket layer technology (SSL). We will not store any credit card information once used.
5. How long we keep information
We will only retain your information for as long as necessary for the purposes set out in this policy, including for the purposes of satisfying any legal, accounting, or reporting requirements.
6. Who we share information with
We will hold the personal data supplied by you, in accordance with the General Data Protection Regulation (GDPR). We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so.
With your consent, which you give us when submitting the Entry Form, we will provide your contact details to third parties who might be interested in buying or commissioning your embroidery artwork.
7. Transferring information outside the European Economic Area (EEA)
Your information will not be transferred outside the European Economic Area (EEA) without your consent. With your permission, we may transfer information outside UK/EEA in case the art buyers reside in other countries. These countries may not have the same data protection standards as the UK/EEA, but we will make sure there is adequate protection in place to ensure compliance with UK law.
8. How you exercise your privacy rights
You have the right to withdraw your consent at any time. You also have the right to rectify or erase your data. You have the right to object to processing of your data. You also have the right to restrict how your data is used. You may also request copies of your personal information which we hold.

In addition, you have the right to make a complaint to the Information Commissioner’s Office (ICO).

9. Privacy policy changes
We may amend or update this policy from time to time. If we make material changes to this policy, we will let you know by sending you an email about the changes. We encourage you to check back regularly and review any changes.
10. Contact
To comply with the General Data Protection Regulations [GDPR] 2018, the Data Controller and the Data Processor are nominated within our organisation. The Data Controller determines the purposes and means of processing personal data and the Data Processor is responsible for processing data.
